Conference Room Terms & Conditions
Reservations will be accepted up to two months before the scheduled event. However, reservations for recurring events are not permitted.
The requests should include:
- Date, time, and duration of the event
- Number of people expected to attend
- Purpose of the event
Conference Room Policy
The Val Verde County Library's conference rooms are primarily intended for library and county programs and events. When the Library or other county departments do not occupy the conference rooms, they are available for limited use by other not-for-profit organizations at the discretion of the Library Director.
Cancellations
Cancellations by the reservation holder should be provided to the Library with at least 24 hours advance notice. If the Library or county requires the use of the meeting rooms, the Library reserves the right to cancel outside reservations 24 hours before the scheduled event. The VVCL reserves the right to cancel/decline meeting room requests anytime.
Grace period: 20 minutes from scheduled start time
Use of Library Facilities AV Equipment
The Audiovisual (AV) equipment in the conference rooms is available during scheduled meetings and events. The event coordinator must make an appointment to familiarize themselves with the equipment ahead of time, as library staff may not be available to provide assistance at the time of the scheduled event. Patrons must bring their own HDMI cords, chargers, etc., for the rooms.
Refreshments and kitchen access may be allowed only with the Library Director's approval. The rooms should be clean and unoccupied 10 minutes before closing.
The person(s) reserving the meeting room will be responsible for any damages to the facilities.
